Intensity Hoops ("we," "us," "our") is committed to protecting the personal information of our athletes, parents, and website visitors. This policy explains what we collect, why, and how it's handled, in accordance with British Columbia's Personal Information Protection Act (PIPA).
1. Information We Collect
- Registration information: participant and parent/guardian name, contact details, date of birth, emergency contacts, and medical information relevant to safe participation.
- Payment information: processed through our third-party registration and payment platform (EventBooking); we do not store full payment card details ourselves.
- Communications: emails and messages sent to or through Intensity Hoops, which we monitor and archive as described in Section 4.
- Photos and video: collected only with separate consent under our Media Waiver Acknowledgment.
- Website usage information: collected automatically through analytics and embedded content (see Section 6).
2. Why We Collect It
We use this information to register and administer programs, communicate with families, ensure athlete safety (including emergency response), process payments, meet our legal and insurance obligations, and improve our website and programs.
3. Children's Information
Most of our participants are under 19. Registration, medical, and emergency contact information for minors is collected from and with the consent of a parent or legal guardian, and is used only for the purposes described in this policy — primarily athlete safety and program administration.
4. Email Monitoring and Archiving
Intensity Hoops monitors and archives email communications sent to or through its official accounts. This is done to maintain accurate records, support the resolution of concerns or disputes, and meet our recordkeeping obligations. Archived email is retained according to our Data Retention Policy and is not used for any purpose beyond these.
5. Who We Share Information With
We do not sell personal information. We share information only with:
- Our payment/registration processor, to process transactions.
- Coaches and staff directly involved in a participant's program, on a need-to-know basis.
- Emergency services or medical providers, where necessary for a participant's safety.
- Legal authorities, where required by law.
6. Website Analytics and Cookies
Our website uses analytics and embedded third-party content (including Google Analytics and social media embeds) that may collect usage information through cookies. This information is used to understand website traffic and improve our content, and is not linked to a participant's registration or medical information.
7. How Long We Keep Information
We retain personal information only as long as necessary for the purposes described above, or as required by law or our insurer, as set out in our Data Retention Policy. Registration and medical information for a season is retained for a limited period after the season ends and then securely deleted or archived.
8. Your Rights
Under PIPA, you have the right to access the personal information we hold about you or your child, and to request correction of inaccurate information. To make a request, contact us using the details in Section 10.
9. Security
We take reasonable steps to protect personal information against unauthorized access, loss, or misuse, including limiting access to those who need it and using secure third-party providers for payment processing.
