This policy explains how Intensity Hoops communicates electronically with athletes and families, and how we use photos, video, and social media in connection with our programs.
1. Official Communication Channels
Team and club communication happens through official channels — email, team group chats that include a parent/guardian, and our website — not through coaches' personal social media accounts or private messages to athletes.
2. Coach-to-Athlete Communication
Coaches do not contact athletes under 19 one-on-one through personal social media, direct message, or text, except in a genuine emergency. Any necessary individual communication includes a parent/guardian or is routed through the club. This is a firm rule, not a guideline — see our Child Safeguarding Policy for the full standard.
3. Email Monitoring & Archiving
Intensity Hoops monitors and archives email sent to or through its official accounts, to maintain accurate records and support the resolution of any concerns. This is described in full in our Privacy Policy and Data Retention Policy.
4. Social Media
Intensity Hoops maintains official social media accounts to share program updates, results, and highlights. We ask coaches and staff to represent the club professionally on any account associated with Intensity Hoops, and to avoid posting content that could compromise an athlete's privacy or safety.
5. Photos & Video
Photos and video of participants may be taken during practices, games, camps, and events, and may be used on our website, social media, and promotional materials. This use requires separate consent, given through our Media Waiver Acknowledgment at registration. A parent/guardian may withdraw this consent at any time by contacting us.
6. Parents & Spectators
We ask parents and spectators to be mindful of other families' privacy when taking and sharing their own photos or video at Intensity Hoops events, particularly before posting publicly.
