Concern or Dispute Resolution Policy

Intensity Hoops wants families, athletes, and coaches to feel confident raising a concern. This policy explains how concerns and disputes are handled.

1. What This Covers

This process applies to concerns about coaching decisions, team selection, conduct by a coach, staff member, athlete, or parent, and any other issue arising from participation in Intensity Hoops programs. Concerns about suspected abuse or safety of a minor are handled under our Child Safeguarding Policy, in addition to this process — see that policy for the legal reporting obligation that applies regardless of this internal process.

2. Step 1 — Talk to the Coach

Most concerns are resolved fastest by speaking directly with the coach involved, away from practice or game time. We ask that this conversation happen calmly and privately, not in front of athletes.

3. Step 2 — Raise It With the Club

If a concern isn't resolved at Step 1, or isn't appropriate to raise directly with a coach, contact Intensity Hoops directly — see the Contact page. Please include what happened, when, and who was involved, so we can look into it properly.

4. Step 3 — Review

Intensity Hoops will acknowledge a submitted concern within a reasonable time, look into it, and follow up with the person who raised it. Depending on the nature of the concern, this may involve speaking with those involved and, where appropriate, an outcome such as guidance, a change in team arrangements, or a more formal disciplinary process under our Codes of Conduct.

5. Confidentiality

Concerns are handled as discreetly as the situation allows. Information is shared only with those who need it to address the concern.

6. No Retaliation

Athletes and families will not be penalized — in playing time, team placement, or otherwise — for raising a good-faith concern.

7. Escalation

If a concern involves the club's ownership or leadership directly, or if a family is not satisfied with how a concern was handled, they may raise it with our provincial sport body, where applicable.
